Specific Expected Contributions:

  • Initialize projects based on the company's needs and standards for improvement.
  • Ensure all projects are performed in a timely manner and contribute toward the achievement of the company's strategic and operational objectives.
  • Recommend implementation of new policies, approaches, and procedures (driver’s related).
  • Develop, analyze and update the company's evaluation program.
  • Maintain and revise the company’s handbook on policies and procedures.
  • Develop, conduct and/or coordinate all required annual employee refresher training programs, drills, program audits, and updates in the area of DOT compliance.
  • Train and supervise the department team, monitor and measure their performance.
  • Keep management informed of new regulations by working with Trucking Association and other industry organizations.
  • Oversee the hiring practices by processing driver applications, make sure it is in compliance with company policies, order required documents and investigate the driver's background, perform annual reviews.
  • Oversee compiling and organizing on-board documents, organize and create all files including DQ and Maintenance.
  • Oversee the compliance of items subject to expiration such as CDLs, medical cards, truck registrations, annual inspections, monthly maintenance reports, and insurance certificates.
  • Manage and actively participate in the driver log review process to ensure compliance.
  • Record driver's safety scores as reported through various Federal Safety websites.
  • Summarize data and trends to proactively avoid violations. File DataQ requests.
  • Ensure compliance with DOT and DFA random testing requirements coordinates and monitors EMBA drug and alcohol testing practices in compliance with return to work, DOT, or Insurance policy requirements.
  • Audit all compliance documents.
  • Maintain fleet vehicle titling, registration, and asset tracking, adding/deleting drivers and equipment on insurance.
  • Conduct an annual review of motor vehicle records on a timely basis.
  • Proactively works within the in-house shop to ensure vehicle maintenance and DVIR records are compliant with DOT regulations.
  • Renew and maintain vehicle fleet current in all state and federal taxes, as well as equipment permitting and licensing, such as IFTA, UCR, 2290, IRP, MCS-150, and DOT Audits.
  • Maintain DOT reportable accident register.
  • Perform accident/incident/injury investigation and committees, review accident reports determining preventability, document corrective action or termination.
  • Oversee handling and reporting claims such as accidents and cargo claims in a proper manner. Make sure the claims are processed as promptly as possible. Manage process for tracking accidents, conducting accident investigations for driver safety violations.
  • Ensure driver insurance records are up to date with current coverage.
  • Monitor and reduce toll road expenses through effective monthly management and toll tag assignment.
  • Oversee entering safety information into the operating system.
  • Other safety and compliance projects as requested.

Specific Candidate Profile:

  • The position anticipates a self-motivated person who is highly organized with the ability to manage multiple priorities in our rapidly growing company. Bachelor's degree in Business Administration or related field or equivalent in related work experience.

Position Type/Working Hours

  • Some flexibility in hours is allowed, but the manager must be available at the workplace during the “core” work hours of 8:00 a.m. to 5:00 p.m. and must be accessible over the phone in case of emergency. Occasional evening and weekend work may be required as job duties demand


  • At least two years of experience in the Safety Manager role is required. Background in transportation companies of a minimum of 150 trucks and up minimum 3 years.

Work Environment

  • The safety manager will work in casual-professional office space. Sometimes the manager is exposed to being outside to communicate with drivers, fleet managers and see the equipment.

Job Overview:

  • The Safety Manager will be responsible for creating, monitoring, enforcing, and analyzing company safety policies to ensure company compliance with all DOT Federal and State rules and regulations;
  • The Safety Manager will also be responsible for maintaining corporate policies and procedures, best practices, and access to additional resources as needed.
  • The manager will oversee accident investigations and will also be responsible for overseeing all record-keeping in the department.


  • Knowledge of FMCSA regulations.
  • Strong interpersonal communication, written and verbal.
  • Ability to introduce and implement new policies.
  • Strong analytical skills and ability to determine a corrective course of action.
  • Solid ability to team build and facilitate a cohesive team.
  • Must be computer-savvy and proficient in MS Excel, Word, Google docs.
